Job Description
The Reservation Specialist is responsible for facilitating all incoming reservations, cancellations, reservation changes and refunds for Clearly Tahoe’s guided tours and rental operations. The Reservation Specialist will be highly trained on all Clearly Tahoe activities and able to offer in-depth information on each. The Reservation Specialist will communicate with guests via phone, email and as walk-ins at our Clearly Tahoe Retail Shops. This position requires a great deal of patience, organization and excellent communication skills. Reservation Specialist will be expected to forward other business inquiries to the department that is best suited to handle said inquiry. Reservation Specialist will be responsible for checking the weather conditions throughout the day and foreseeable future and communicate any adverse conditions that may impact operations to the Manager on Duty. The Reservation Specialist will be expected to open/close activities within guidelines based on factors including but not limited to weather, staffing, special events and resources. In the event of unfavorable weather conditions, The Reservation Specialist will be responsible for communicating with the Manager on Duty, cancelling, refunding or rescheduling guests, and communicating with on-site staff and other sales representatives. The Reservation Specialist should be able to make recommendations to guests and allocate demand across all available activities. The Reservation Specialist will be expected to communicate with the staff on-site regarding day to day needs and able to help resolve issues that arise. The Reservation Specialist directly reports to the Sales and Activities Managers and will be expected to communicate special needs or requests for upcoming reservations. The Reservation Specialist will be trained in The Clearly Tahoe Retail Shops and will be scheduled to cover the shop from time to time. The Reservation Specialist will need to be aware of current promotions, marketing campaigns and events so they can assist guests answering questions and distributing information accordingly. When scheduled to work in Clearly Tahoe’s Retail locations The Reservation Specialist may have secondary duties including but not limited to making retail sales and helping with shop related duties.

Ideal Candidate
The ideal candidate for this position will be a highly organized individual who excels in learning and relaying information. Candidate will have excellent communication skills in person, on the phone, and via email. Candidate will be comfortable in an office setting and have proficient computer skills. Candidate will have a strong background in customer service and be able to communicate in a calm and pleasant manner at all times. Candidate should be able to complete all of their scheduled tasks without constant supervision and should be able to contribute to a team work environment.

Clearly Tahoe is a full-service recreational company in the Lake Tahoe area that specializes in guided tours and rentals on both land and water. We currently feature guided tours from 7 different Lake Tahoe locations, operate 1 on-site rental concessions and 2 adventure-themed retail shops in the Tahoe basin. In addition to our popular tours in completely transparent kayaks, Clearly Tahoe also offers on-site rentals from the Sand Harbor Nevada State Park, excursions from our 46 foot tri-toon, hiking, biking and snowshoe tours during the off-season. With a team of more than 60 employees, Clearly Tahoe offers a variety of both seasonal and year-round positions, in-house training, and growth opportunities.

Work Environment
The Reservation Specialist will be scheduled to work out of our Clearly Tahoe Sales office and Clearly Tahoe Retail Shops. The Reservation Specialist should be comfortable working independently and in a team environment, able to accomplish tasks and facilitate day to day needs without immediate supervision. The Reservation Specialist will often scheduled to work from our retail shop locations where they will work in a team environment alongside sales associates, shuttle drivers, tour guides and our management team.

Schedule Details
Reservation specialist will primarily work during normal business hours. Shifts for this position will average 8 hours/day with a start time as early as 7:00am and a clock-out time as late as 6:00pm at select locations. Part-time schedules for this position will be 2-3 days/week in peak season. Full-time schedules will be 4+ days per week in peak season.

Reservation Specialist Primary Responsibilities 

  • Arrive to work on-time prepared to work.
  • Check job-specific messages.
  • Check emails and reply or forward accordingly.
  • Answer phone calls and assist with various scheduling or communication needs.
  • Manage phone calls and reservation requests from all-outlets.
  • Work with 3rd party booking agencies.
  • Transfer bookings between systems as necessary.
  • Respond to reservation inquiries and help process new reservations.
  • Process reservation changes and cancellations.
  • Control availabilities and work with management to relay scheduling needs.
  • Keep activity listings updated.
  • Keep active reservation notes.
  • Help create and keep calendar.
  • Help communicate between team members.

Reservation Specialist Should be able to;

  • Communicate with excellent interpersonal skills.
  • 2 years customer service experience (preferred)
  • Self-starter.
  • Ability to identify problems and propose solutions.
  • Operate Computer Systems Proficiently
  • Use Mac or Windows.
  • Operate Excel and Microsoft Systems.

Job Types: Full/Part-time, Seasonal (8-10 months)

Compensation/Salary:
Training Rate: $14.00/hour (Nevada)
Starting Rate: $17.00-18.00/hour
Long-Term Rate Range: $17.00-22.10/hour

Job Qualifications:

  • Must be fluent in English
  • Able to lift 50lbs
  • 2+ Years Customer Service Experience

  • Be able to retain information regarding all company operations and services at all locations and relay information to guests with the assistance of written aids

  • Preform tasks calmly and efficiently even in times of high volume
  • Proficient computer skills

License/Certification:

  • High School Diploma
  • Associates Degree or Equivalent (preferred)
